Hotel or apartment for a work team: the comparison that spares you nasty surprises

Eight people to house for six weeks, near a site you don't know, on a tight budget. You didn't choose the location or the dates. But if the team complains, you are the one everyone will turn to.
Office manager, assistant, site manager: you are the person who organises. Good accommodation goes unnoticed; bad accommodation gets noticed every single day. So, hotel or apartment for a work team? Here is how to decide, and how to defend your choice.
What really changes on a long assignment
For a night or two, a hotel is the obvious choice. For several weeks, your colleagues are no longer passing through: they are living there. They need to eat, wash their work clothes, recover after long days and park their vehicle every evening.
So the real question isn't "where do we sleep?" but "where do we live during the assignment?".
Crew accommodation compared: hotel vs apartment
| Criterion | Hotel | Equipped apartment |
|---|---|---|
| Kitchen | Rarely, meals at restaurants | Equipped kitchen, grocery shopping and home-cooked meals |
| Linen and work clothes | Dry cleaner or launderette | Washing machine on site |
| Space | One room, often small | Living areas on top of the bedrooms |
| Team life | Everyone in their own room | Living room, big table, shared moments |
| Rest | Noise from other guests | Accommodation used by your team only |
| Meals and budget | Allowance quickly exceeded at restaurants | Easier to stay within the meal budget |
| Arrival | Depends on reception opening hours | Self check-in, even late in the evening |
| Parking | Varies, sometimes paid | To be checked for each property |
| Cleaning | Daily | Depends on the offer, to be checked |
| Sleeping | One room per person | One bed per person, rooms to allocate |
The hotel still has real strengths: one room per person, daily cleaning, no logistics. It remains relevant for very short stays or a single traveller. Over several weeks, the apartment ticks far more boxes.
The 6 criteria that make the difference
1. The kitchen, for the budget and for morale
The French long-distance meal allowance is €21.40 in 2026. Eating out at lunch and dinner for six weeks, it often isn't enough, and eating out every night ends up wearing people down. With an equipped kitchen, the team does its own shopping, cooks together and eats its fill. Full scale here: 2026 French long-distance travel allowance.
2. The washing machine, the detail that isn't one
Work clothes, weekend outfits, towels: over a month, laundry becomes an issue. At a hotel, it means the launderette. With a washing machine, it's sorted in one evening.
3. Fatigue and rest
After ten hours on site, people want peace and quiet. At a hotel, other guests come and go. In an apartment reserved for your team, the rhythm is the team's own. A well-rested employee is more alert, and therefore safer.
4. Team cohesion
In the evening, around a big table, the team debriefs, sorts out small problems and prepares for the next day. Isolation in separate rooms, on the other hand, wears morale down over time.
5. One bed per person, no exceptions
This is the number one point to watch. "Sleeps" does not mean "beds". A sofa bed or a bed shared between colleagues is a no. Always ask for the exact number of beds and how they are split per bedroom, then choose accommodation with at least as many beds as your headcount.
6. Arrival and parking
Teams often arrive on Sunday evening, late, after hours on the road. Self check-in means nobody has to wait for someone with the keys. Also check where the vans can be parked every day.
Organising an assignment near Cattenom or Luxembourg? Send us your dates and headcount through the contact form: we will suggest how to split everyone across apartments.
And the cost?
Compare the total cost including VAT of the assignment, never a nightly rate on display. VAT on employee accommodation is generally not deductible for the company. A shared apartment spreads the cost across several occupants, whereas a hotel charges one room per person.
How to defend your choice to management
Three arguments are enough:
- Budget: total cost including VAT compared, meals included.
- Performance: a well-rested, well-fed team, with fewer delays and less tension.
- Simplicity: one address, one contact person, self check-in.
That leaves the logistics: follow our method to organise accommodation for a travelling crew, with a ready-to-use rooming list.

Frequently asked questions
Hotel or apartment: which is best for a site crew?
For one or two nights, a hotel is simple. For several weeks, an equipped apartment is often better suited: kitchen, washing machine, living space and quiet rest.
Is an apartment cheaper than a hotel?
It depends on the offer and the size of the team. Compare the total cost including VAT, meals included: in a shared apartment, the cost is split between the occupants. At matcha home, booking direct costs about 5% less than Airbnb and Booking, whatever the length of stay.
How do I avoid nasty surprises with an apartment?
Ask for the exact number of beds, how they are split per bedroom, parking, whether there is a washing machine and how check-in works.
What if the assignment is postponed or the team changes?
At matcha home, dates and number of guests can be changed free of charge, and cancellation is free, up to 5 days before arrival.
Will my colleagues accept sharing an apartment?
In most cases, yes, as long as everyone has their own bed and the rooms are well allocated. Consult the team beforehand about who gets on with whom and about working hours.
